Congratulations on your offer of admission to WVSOM! Please review the information below regarding your Next Steps as an accepted student.

Step 1: Matriculation Deposit Schedule

As a recently accepted student, your next step is to decide if you will be attending WVSOM. We hope you will decide to make WVSOM your home for medical school. Your next step is to secure your seat in the Fall class. Please review the information below regarding when your 1st and 2nd deposit will be due. You should have received an official acceptance communication which would have listed your specific deadlines.

You can pay your deposit online with a debit/credit card. (please note it can take 24 hours to post to your application checklist)

WVSOM follows all AACOMAS traffic guidelines.

Step 2: Complete the Background Investigation Notification & Certification

All applicants who are accepted and plan to matriculate, must read through the Background Investigation Notification & acknowledge the notification. You can access this document through your My.WVSOM.edu account. Go to your Application Status page to complete the form. 

Step 3: Apply for Financial Aid

The Free Application for Federal Student Aid (FAFSA) is available in October. Our school code is 011245. Make sure you submit yours as soon as possible. Review our information on Financial Aid & Scholarships. Stay in touch with the Financial Aid Office to make sure you have submitted everything they need to process your student aid. The Financial Aid Office will reach out to students who have submitted both deposits and email them instructions on how to complete the institutional application we have.   You can expect an email in late March. The Financial Aid Office will allow each student a one on one time to discuss you aid options.

  • Review your Student Aid Report (SAR) upon receipt (by email) and follow the instructions carefully.
  • You need to complete the on-line counseling at StudentAid.gov 
  • You do not need to complete the loans applications at this time. 
  • Notify the Financial Aid Office of any outside or private scholarship, Health Professions Scholarship Program, grant or other types of student aid you have received or expect to receive. 
  • If you want to allow us to speak with other people concerning your financial aid status, you MUST print, sign and return the Information Release Form. If we do not have this form on file, we will not discuss your financial aid with anyone but you (not spouses, parents, significant others, etc.).
  • If you have dependent care issues or special circumstances that affect your budget, forms are available on our web site to request consideration for a budget adjustment.
  • You will be contacted again in May by e-mail with further instructions and to discuss your individual financial aid needs.
  • Once you have completed the above steps, just wait on an email from the financial aid.

Step 4: Complete Forms

Now that you have deposited, there are a few required forms that must be completed in order for you to matriculate to WVSOM. See the list below regarding the required forms, when they will be available to you, and when they are due.

Please note that each of these forms can be accessed through your MyWVSOM account. Once you've submitted these items, they will be processed and your checklist in your MyWVSOM account will be updated.

Background Investigation Notification & Certification

Available to students who've made their 1st deposit

 

June 15th - You will complete this process through CastleBranch. You will receive an email in May regarding how to complete the Criminal Background Check. Please follow the instructions that will be provided in the email.  
Health & Technical Standards - Students must comply with the version of Health & Technical Standards in effect at the time of their matriculation. 

Available to students who've made their 1st deposit

June 15th - The Health & Technical Standards form must be uploaded to CastleBranch. Students will be given their login information for CastleBranch in May after they have submitted the 2nd deposit. Until then, please hold onto your completed Health & Technical Standards form. Once you have access to CastleBranch, you must upload it there. 
Student Health Immunization Verification

Available to students who've made their 1st deposit

 

June 15th - The Student Health Immunization Verification form must be uploaded to CastleBranch.

Student Health Insurance

Student will receive an email regarding this sometime late during the Spring semester after the 2nd deposit has been submitted

 

June 15th - All students are required to have health insurance while a student at WVSOM.

Students will receive an email with instructions late during the spring semester regarding enrolling in the WVSOM Student Health Plan or submitting a waiver.

Students must have submitted their 2nd deposit and have been assigned their WVSOM student email account to complete this process.

Students are required to upload their HSA Health Insurance Card (or their private health insurance card if they were approved the wavier for the HSA insurance) to their Castle Branch account.

Please note that male students who are between the ages of 18-25 are required to complete the Proof of Selective Service. If you fall in this category, you will see information regarding this form in your My.WVSOM.edu account within your Application Status page. To verify your Selective Service status, visit https://www.sss.gov/verify/

Step 5: Obtain Current CPR Certification

Students are required to have a current CPR card when they arrive on campus for orientation (typically the last week in July).

WVSOM teaches American Heart Association Professional BLS at the end of students' 2nd year. American Heart Association would be the preferred class to take, but we will accept other classes as long as they have "hands on" training (not just internet based), and the training includes training for adults, children, and infants with AED training. You do not need to present this information to the Admissions Office. Just make sure you have it with you when you arrive for orientation in July.

Step 6: Review Suggest Assignments

Make sure you review the complete list of suggested material prior to matriculation (orientation).

Step 7: Prepare for Convocation & White Coat Ceremony

Each year, the WVSOM Convocation & White Coat Ceremony takes place in August on a Saturday. You will receive email communication once this date has been set so that you can start preparing. The event takes place in our new Student Center, and seating is typically limited to three guests per student, but there is overflow space in the Alumni Center where the ceremony will be live streamed. The ceremony will also be live streamed and made available online for guests who can't attend and will be available online following the event as well.

Step 9: Submit all final transcripts & complete any outstanding prerequisite requirements

WVSOM must have final transcripts from all colleges/universities attended. Final transcripts should not have any in-progress coursework listed and should reflect any degrees conferred. Any final transcripts submitted and verified by AACOMAS will be considered official & do not need to be resubmitted to WVSOM. 

Any in-process coursework that is not verified through AACOMAS during the Academic Update Periods, will require an official final transcript to be sent directly to WVSOM by July 1st. 

  • September 1, 2023 to October 13, 2023
  • December 15, 2023 to February 16, 2024
  • March 15, 2024 to April 12, 2024

Any outstanding prerequisite requirements must be satisfied prior to orientation (typically the last week in July). We must have the official final transcript showing you have completed the course.

Step 11: Review the Book List & Medical Equipment List

Make sure you review the Bookstore webpage for additional information on your book list, medical supply list, etc. Always contact the Bookstore directly with any questions prior to making purchases.
