eRefund

The West Virginia School of Osteopathic Medicine, in conjunction with Educational Computer Systems, Inc. (ECSI), offers students' the option of directly depositing their financial aid refund to a checking or savings account of their choice.

The eRefund program is very simple as the process is broken down into four steps:

  1. WVSOM & ECSI Action - Students are given a WVSOM email address when they have paid their final acceptance deposit. The school notifies ECSI to create a new account for the student. ECSI emails the student with sign-on instructions.
     
  2. Student Ops into ECSI - The student signs up for eRefund before their registration using the information provided by ECSI in the first step. The program then automatically sends a confirmation email to the student.
  3. WVSOM Applies Funds and Notifies ECSI of Credit - During the student's registration, the student's financial aid is applied to their tuition and fee charges, leaving a credit balance. WVSOM automatically sends the student credit balance information to ECSI to process the refund as a direct deposit into the account the student provided.
     
  4. ECSI Notifies Student of Funds Availability - The student is sent an email when their funds have been processed and within 24 to 48 hours of receiving that email, their funds should be available to them.

Students can sign-on to their account and view the transaction history of their account, change their bank information and, if they choose, deactivate their eRefund account at any time.

Here are some common questions about eRefund:

How does eRefund work?

eRefund works just like your refund check. Once we receive your financial aid, we apply that directly to your tuition and fees first, leaving a credit balance that is given to you as a refund. WVSOM sends the credit balance information to ECSI, who handles your direct deposit. Once they receive the money for the refunds, they send the deposit information to your bank and send you an email notification that the funds have been processed.

How do I sign up?

Once you become a student at WVSOM, you are issued a WVSOM email account. When you are issued this account, you will be sent an email from webmaster@ecsi.net that will have your login ID and temporary password and detailed instructions on how to sign up.

What do I need to sign up for eRefund? Do I need a cancelled check?

To signup for eRefund, you will need an internet connection and your bank information. You will not have to provide a cancelled check to the business office. Once you sign onto the website, you will see a link that says "Signup for eRefund". You will click on this link and fill out all of the necessary information. This includes your account number and your ABA routing number (both found on your check); the site also helps you locate if you do not know how.

What if the bank account does not belong to me (i.e. parents or spouse)?

If you wish to have your funds placed in an account that is not yours, you will need to also completely fill out the section that says "Account Holder". If the account is yours, you will check the box that says "I (the student) am the account holder". If you are not the account holder, you will fill out the name and other information that the site asks for.

Is the website secure?

Yes, the website is very secure. After you login, you will notice a lock at the bottom right hand corner of the screen. This lets you know that the site is a secure site.

How long does it take to get my money?

You will be sent an email to your WVSOM email address stating that your funds have been processed. Once you have received that email, it takes 24 – 48 hours for your bank to process the funds. You must always make sure the funds are in your account before attempting to use them.

How can I check on my refund through the website?

Once you login the system, there is a link that says "Transaction History". You can click on that to see when your refund was processed. Transaction's usually post to your account within 24 to 48 hours from the email confirmation you have received from ECSI.

Can I signup at any time, or is there a deadline that I must sign up by?

You may signup for eRefund at any time. In order to receive a direct deposit of your financial aid refund during registration, you must be in the ECSI system no later than two (2) days prior to the first day of registration. If you sign up after that, you will be issued a refund check at registration and all future refunds will be processed using eRefund.

Do I need to signup every semester?

No. Once you have signed up for eRefund, you are in the system until you graduate, or if you decide to remove yourself from the eRefund program. You have complete control of how you get your refunds.

What if I change my bank information in the system?

If you want to change your bank information, simply log into the system and click the link that indicates that you want to change your eRefund. The page will be identical to the "Signup for eRefund" link, but you will be able to change the information that needs to be changed and save it.

What if my name changes, including my email address? How does this affect my eRefund?

If your name and/or email address changes, we will have that information changed in the system. The only thing that will not change is your login. Your login ID is the first two letters of your last name and your social security number, but if your name changes, this will not change.

What if I forget my password?

If you forget your password, you can reset it on the login page. Type in your login ID and click [Email my Password]. Your login ID is the first two letters of your last name and your social security number. Your password will then be sent to your WVSOM email address. If you have any problems with this, please contact the business office and someone will assist you.

What if I decide I don't want to use eRefund for future disbursements?

If you decide that you no longer want your refunds via direct deposit, you must long into the site and click the link that indicates removing yourself from eRefund. At the very bottom of the page is a link that states "remove". You will click this link to remove yourself from eRefund and then you will be sent an email from webmaster@ecsi.net indicating you have been successfully removed from eRefund. You can signup again at any time!
