On Graduation Day

Graduation is scheduled for Saturday, May 25th, 2019 starting at 9:30 am. You want to make sure you arrive on campus early enough so that you won't miss the procession.  Line up for the procession is at 9:00 am in the Main Building Classrooms. The tent is air-conditioned and dressing in a lightweight, business casual attire, and comfortable shoes recommended.

Graduation Seating

You may invite as many people as you want to attend your graduation. It is open seating on the day of graduation; families cannot reserve seats ahead of time.  A large video wall will be located inside the tent so that everyone will have a good view of the ceremony.

Reserved Seating Areas

There are reserved seating areas for the Graduates, guests with disabilities and their families, Faculty, Special Hooders and Guests of the President.  These reserved areas will be pointed out during the Graduation Rehearsal on Friday, May 24th.

Hooding

Being hooded is the BIG deal for a professional school graduate.  You can have a family member, friend or mentor hood you during the Graduation ceremony.  But here's the deal, you need to fill out the hooding request form on the Graduation website and submit to the Dean's office.  The reason is only a person with a terminal degree, ex. D.O., M.D., Ph.D., D.D.S., J.D., etc. can hood you. 

We need to know the name and credentials of your special hooder; this information is announced when you walk to the center stage to be hooded:  "Student X will be hooded by his mother, Dr. X, D.O."  If you do not request a special hooder, one of the Associate Deans will hood you.  Also, note that WVSOM faculty can hood graduates.  

Military Graduates

Please email Marietta Chaney if you are a military graduate. 

Military graduates are honored at the Graduation Awards Ceremony on Friday; the ceremony begins at 3:00 pm with a presentation of a special military coin.  You are encouraged to wear your military dress uniform.  There is another Military Ceremony held in the Alumni Center Greenbrier Military School Museum at 4:30 pm on Friday, May 24, 2019. Military students may be commissioned either following the Award Ceremony or Graduation. 

You need to contact your service branch to discuss the details regarding commissioning and make sure you have your paperwork with you.

Bookstore Requirements 

Students are required to wear caps & gowns. Please contact Cindi Knight in the WVSOM Bookstore  – Graduates,  below are the links to order your regalia, frames, and mug; And, to order announcements and/or rings.  Deadline to order regalia and class roster stein is January 11, 2019.

Attached is a PDF is a conversion chart for your tam. 

Please measure your head in inches then look to see what it correlates to for hat size.  These are custom made so please measure wisely.  Make sure that the tape is secure and tight, but not too tight.  Rather your tam be a little form fitting, than too loose.  Once the tam is ordered, it cannot be changed or exchanged. 

Also, on your regalia, if you are plus sized please call us before you mark PLUS 1, 2 or 3.

Please make sure to follow directions for the Class Roster Stein.  You will need to put in the directions area at check-out how you would like your name listed on the front in gold lettering.  You may either put Dr. John Doe or John Doe, D.O. or you may choose to leave blank. The roster on the back will be the official name with the registrar, as of February 1, 2019.

At check-out, your order is not complete until you have your credit card information, address, and click submit.  When that happens, I will receive a ping that an order has been placed.  You will receive confirmation, as well.  As a triple check, I will let you know that an order has been received from you.  So, if you place an order and you do not hear from me within the day, please make sure that you completed the transaction.

You may want to forward this on to parents or loved ones.  We get MANY calls from family members wanting to order items for you.  Especially, announcements!  They are proud of your achievement and hard work.  Let them share their pride.  You may want to coordinate with them, just to make sure you don't duplicate order for frames and such.

Cap and Gown Care

Please follow these instructions regarding your cap and gown:

  1. DO NOT IRON YOUR GOWN.  Once received, place on a hanger in your hotel bathroom and let the steam from the shower release the wrinkles.  They should not be too bad.  If you would like more wrinkles removed, please USE STEAM ONLY!  You can ruin the velvet and the gown by ironing!  NEVER iron the gown.

  2. Ladies, you may want to bring a safety pin to pin your hood to your gown once you are hooded.  This will keep it in place.  Men usually have a button on the shirt they can attach the hood too.

  3. When you receive your hat, be sure to put your name in your hat.  You will do a hat toss and since they are custom made, you will definitely want your own hat back.  (You should be able to peel the name off of your regalia bag and put in your hat.  If not, we'll have some masking tape and a sharpie to write your name.) DO NOT LOSE YOUR TASSEL.

The Campus Store will be open on Graduation Saturday from 8:00 am - 2:30 pm. We ask that if you have family that need assistance with the elevator closest to the store, to let us know. We keep it locked on the bookstore side for security reasons. Someone will be there to assist. 

Your Diploma

Graduates will need to complete the Diploma Order and Hooding request by January 21, 2019. We have combined the Diploma Order Form and Hooding request from. You will need to complete the form by January 21, 2019, in order for your diploma to be printed. If you need to make a change to your hooder, after January 21, 2019,  the form will be open until 4:30 on April 24, 2019. 

A week after graduation, you will receive an email from the Registrar's office with an 8 x 10 PDF copy of your diploma to use for licensing boards, etc. Transcripts are issued by request.
